What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You

The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

—Account and contact details. Your name, email address, employer or organization, and, where your sign-in provider supplies it, your profile picture.
—Demo and sales enquiries. Your name, work email address, company, and the products you are interested in.
—Communications. The content of messages, feedback, and support requests you send us.
—Job applications. The information you send us when you apply for a role, such as your résumé and work history.

Sensitive Information. We do not ask for or intentionally collect sensitive personal information such as health data, government identification numbers, or precise geolocation. Your account login credentials are handled by our authentication provider and are used only to sign you in.

Customer Content. Our customers, such as law firms and companies, submit documents, prompts, and search queries to the Services ("Customer Content"), which may contain personal information, for example the names of inventors in patent documents. We process Customer Content on the customer's behalf and under its instructions, as a "processor" under the GDPR and a "service provider" under the CCPA. Our agreement with the customer, including any data processing addendum, governs that processing. If your personal information is contained in Customer Content, please direct your request to the customer that submitted it.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. You may find their privacy notice link(s) here: https://stripe.com/privacy.

Third-Party Sign-In Data. We may provide you with the option to register and sign in using a third-party identity provider or your organization's single sign-on. If you choose to sign in this way, we will collect certain profile information about you from that provider, as described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, approximate location, information about how and when you use our Services, and other technical information. When you are signed in, it is associated with your account. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:

—Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
—Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
—Session Replay. We use session replay technology that records how you interact with the Services, including your clicks, scrolling, navigation, and the content displayed on your screen. We use these recordings to diagnose problems and improve the Services.
—Google API

Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

—To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
—To deliver the Services. We process your information to provide the features you request, including processing the content you submit.
—To respond to enquiries and provide support. We process your information to answer demo requests, questions, and support requests.
—To send administrative and marketing communications. We may send you service notices and, where permitted, information about our products. You can opt out of marketing emails at any time using the unsubscribe link in the email.
—To protect our Services. We process your information to monitor for and prevent fraud, abuse, and security incidents, and to diagnose errors.
—To comply with legal obligations. We process your information where needed to comply with applicable law, respond to lawful requests, and establish or defend legal claims.
—To evaluate and improve our Services, products, marketing, and your experience. We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience.
—To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.

When and With Whom Do We Share Your Personal Information?

—Customer relationship management and marketing: HubSpot
—Payments: Stripe

We do not sell your personal information, and we do not share it with third parties for cross-context behavioral or targeted advertising.

Is Your Information Transferred Internationally?

In Short: We are based in the United States, and your information is processed there and in other countries where our service providers operate.

If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States and other countries whose data protection laws may differ from those of your country.

Where we transfer personal information out of the European Economic Area, the United Kingdom, or Switzerland, we rely on a transfer mechanism recognized by the applicable law, such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or the recipient's certification under the EU-U.S. Data Privacy Framework. Do We Use Cookies and Other Tracking Technologies?

In Short: We use cookies and similar technologies to run the Services and to understand how they are used. We do not use advertising cookies.

We use cookies and similar tracking technologies to gather information when you interact with our Services. We use them for the following purposes:

—Essential. Cookies that sign you in, keep your session secure, and remember your preferences, such as your language. The Services cannot function without them.
—Analytics and session replay. Google Analytics, HubSpot, FullStory, and Vercel Analytics help us measure traffic, recognize returning visitors, connect form submissions to visits, and understand how the Services are used.

We do not permit third parties to use tracking technologies on our Services for targeted advertising.

You can set your browser to remove or reject cookies, as described in the section "WHAT ARE YOUR PRIVACY RIGHTS?" below. You can also opt out of Google Analytics by installing the Google Analytics opt-out browser add-on.

Do We Offer Artificial Intelligence-Based Products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.

Use of AI Technologies

We provide the AI Products through third-party service providers ("AI Service Providers"). As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products for purposes outlined in "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?" You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

How We Process Your Data Using AI

All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process, giving you peace of mind about your data's safety.

We do not use Customer Content, prompts, or outputs to train or fine-tune AI models, and we do not permit our AI Service Providers to do so, unless a customer separately asks us to and agrees in writing.

How Do We Handle Your Social Logins?

In Short: If you choose to register or log in to our Services using a third-party account, we may have access to certain information about you.

Our Services offer you the ability to register and log in using a third-party identity provider or your organization's single sign-on. Where you choose to do this, we will receive certain profile information about you from that provider. The profile information we receive may vary depending on the provider concerned, but will often include your name, email address, and profile picture.

We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party identity provider. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.

How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). We decide how long to keep each category of personal information based on whether you still have an account with us, whether we still need the information to provide the Services or respond to you, and whether we must keep it to meet legal obligations or resolve disputes. Customer Content is retained and deleted as set out in our agreement with the customer.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

Do We Collect Information from Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. What Are Your Privacy Rights?

In Short: Depending on where you live, you have rights over your personal information, and you may review, change, or terminate your account at any time.

If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the following rights under the GDPR and equivalent laws:

—Access. Obtain confirmation of whether we process your personal information, and a copy of it.
—Rectification. Have inaccurate or incomplete information corrected.
—Erasure. Have your information deleted where we no longer have a lawful reason to keep it.
—Restriction. Ask us to limit how we use your information while a concern is resolved.
—Portability. Receive the information you gave us in a structured, commonly used, machine-readable format.
—Objection. Object to processing based on our legitimate interests, and to direct marketing at any time.

To exercise these rights, email us at help@invention.co. We will respond within one month, which we may extend by up to two further months for complex requests. You also have the right to lodge a complaint with your local data protection authority. You can find contact details for authorities in the European Economic Area, the United Kingdom, and Switzerland.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, it will not affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can:

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

Global Privacy Control. Some US state laws require businesses that sell personal information, or share it for targeted advertising, to treat a Global Privacy Control (“GPC”) signal as a request to opt out. Because we do not sell or share personal information in this way, there is no sale or sharing for a GPC signal to opt you out of.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

Do United States Residents Have Specific Privacy Rights?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, or Virginia, you may have specific privacy rights.

This section supplements the rest of this Privacy Notice for residents of those states, and serves as our notice under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA). Sources. We collect this information directly from you, automatically from your device when you use the Services, from your employer or organization, and from the identity provider you use to sign in.

Purposes. We use each category for the business purposes described in "HOW DO WE PROCESS YOUR INFORMATION?" above, and keep it for the period described in "HOW LONG DO WE KEEP YOUR INFORMATION?" above.

Disclosures. In the past twelve (12) months, we disclosed each category we collect to the service providers listed in "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?" above for a business purpose. We have not sold personal information, and we have not shared it for cross-context behavioral advertising, in the past twelve (12) months. We do not knowingly sell or share the personal information of anyone under 16 years of age.

Sensitive personal information. We do not use or disclose sensitive personal information for purposes other than those the CCPA permits without a right to limit, and we do not use it to infer characteristics about you.

Your rights. Subject to the law of your state, you have the right to:

—Know and access the categories and specific pieces of personal information we have collected about you, where we collected it from, why, and to whom we disclosed it.
—Delete the personal information we collected from you, subject to legal exceptions.
—Correct inaccurate personal information.
—Obtain a copy of your personal information in a portable format.
—Opt out of the sale of personal information, sharing for targeted advertising, and profiling that produces legal or similarly significant effects. We do not engage in these activities.
—Not be discriminated against for exercising any of these rights.

How to exercise your rights. Email us at help@invention.co and tell us which right you wish to exercise. We will verify your identity by confirming that you control the email address associated with your account or your prior interactions with us, and may ask for further information if that is not sufficient. You may use an authorized agent to make a request on your behalf; we will ask the agent for proof of your written permission and may verify your identity directly with you.

We will confirm receipt of your request within ten (10) business days and respond within forty-five (45) days. Where reasonably necessary, we may extend our response time by a further forty-five (45) days and will tell you why.

Appeals. If we decline to act on your request, you may appeal by replying to our decision or emailing help@invention.co with the subject line "Privacy Appeal." We will respond in writing within the period required by the law of your state. If your appeal is denied, you may contact your state attorney general to submit a complaint.

California "Shine the Light." We do not disclose personal information to third parties for their own direct marketing purposes.

Do We Make Updates to This Notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top of this Privacy Notice.
